Project Coordinator

We are seeking a Project Coordinator to support our project teams through a blend of coordination, documentation, time entry oversight, onboarding support, and project controls functions. This role offers exposure to both our construction operations and our engineering subsidiary, giving you a unique opportunity to build a well‑rounded project skillset.


Key Responsibilities


Project Coordination

  • Support project managers with scheduling, cost tracking, forecasting, and progress reporting.
  • Assist in preparing estimates, bids, work packages, and formal project documentation.
  • Track and process RFIs, submittals, change requests, and key project correspondence.
  • Maintain accurate and organized project files including drawings, revisions, logs, and meeting minutes.
  • Coordinate subcontractor documentation, approvals, and deliverables.
  • Support communication and information flow between field teams, engineering, vendors, and clients.
  • Participate in project meetings and ensure follow-up actions are captured and completed.

Project Documentation, Time Entry & Administration

  • Manage and verify daily and weekly time entry for field staff and subcontractors.
  • Track labor, equipment, and material quantities for project reporting and cost control.
  • Ensure accurate job coding, documentation, and alignment with project budgets.
  • Assist in preparing purchase requests, cost codes, project setup forms, and administrative documents.
  • Support preparation of dashboards, reports, and document logs.

Onboarding & Site Support

  • Coordinate onboarding for new hires and subcontractors entering project sites.
  • Support site access requirements, orientations, training records, and onboarding documentation.
  • Coordinate mobilization logistics including travel, accommodations, and site-specific requirements.
  • Act as a liaison with HSE and site leadership to ensure new workers meet all compliance requirements.
  • Assist with site walkdowns and gathering field data for progress updates.

Field & Technical Support

  • Prepare and issue RFPs and procurement packages for vendors and subcontractors.
  • Support information flow between construction execution and engineering teams.
  • Assist with tracking installed quantities and validating progress data (training provided).

Process Improvement & Digital Tools

  • Support implementation of improved project workflows, tools, and processes.
  • Assist with onboarding and rollout of project management and document control software.
  • Promote consistent best practices in quality, communication, organization, and efficiency.

What We’re Looking For

  • Diploma or experience in Project Management, Construction Management, Business Administration, Engineering Technology, or a related area.
  • Experience in project coordination or administrative support (industrial/construction experience an asset).
  • Strong organization, time management, and ability to manage multiple priorities.
  • Excellent communication and teamwork skills.
  • Proficient with Microsoft Office Suite; comfortable learning new digital tools.
  • Ability to read and understand drawings and project documents (training provided).
  • Detail‑oriented, proactive, and able to work independently with strong follow‑through.
